# Email an invoice to a customer

> Send one invoice by email, as is or after checking the address and message.

Use this guide if you want to email an invoice to a customer yourself, for one order. By the end, the customer gets an email from your store with the invoice attached as a PDF.

## Before you begin

- On the Free plan, emailing an invoice counts toward your monthly limit of 50 orders. Each order counts once, even if you also print it or email it again. See [How the monthly invoice limit works](https://help.invoicefalcon.com/monthly-invoice-limit/).
- The order needs an email address, unless you type one in yourself with **Review & send**.
- To email many invoices at once, see [Email invoices in bulk](https://help.invoicefalcon.com/bulk-email-invoices/). To send every new invoice without doing anything, see [Send invoices automatically](https://help.invoicefalcon.com/send-invoices-automatically/).

## Choose your setup

| Use this | When |
|---|---|
| **Send email** | You want to send the invoice to the customer's email address with your usual email text. |
| **Review & send** | You want to check or change the address, or change the subject or message for this one email. |
| The envelope icon on the **Orders** list | You want to send with your usual text and default template without opening the order. |

## What customers will see

An email from your store with the invoice attached as a PDF. The subject and message are your invoice email text, unless you changed them in **Review & send**. To change your usual text, see [Customize your invoice emails](https://help.invoicefalcon.com/customize-invoice-emails/).

When you send from the order's page, the PDF uses the template selected in the **Templates** sidebar. From the **Orders** list, it uses your default template for orders.

## Set it up

### Send with Send email

1. Open your Shopify admin and click **Invoice Falcon** in the left menu.
2. Click **Orders** in the app's menu.
3. Click the order number in the **Order #** column.
4. Optional: pick a different template in the **Templates** sidebar.
5. At the top of the page, open the **Send** menu and click **Send email**.
6. Check the address after **Send invoice email to**.
7. Optional: tick **Send me a copy of the invoice** and enter the address that should get a copy.
8. Click **Send email**.

### Check and change the email with Review & send

1. Open the order's page, as in steps 1 to 3 above.
2. Open the **Send** menu and click **Review & send**.
3. In **Email(s)**, check the address, or replace it with the one you want.
4. Change the **Subject** and **Body** if you need to. To add details such as the order number, click **Variables** next to the field, then click **Add to field** next to the variable you want, for example `{{order_number}}`.
5. Optional: tick **Send me a BCC copy**.
6. Click **Send invoice**.

Changes you make in **Review & send** apply to this email only. Your saved email text stays the same.

### Send from the Orders list

1. Click **Orders** in the app's menu.
2. In the order's row, under **Actions**, click the envelope icon (**Send email**).
3. In the **Send invoice email** window, click **Send email**.

## Check your setup

1. Send an invoice for a test order that uses your own email address.
2. Check your inbox for the email and open the PDF.
3. In **Orders**, the envelope icon in that order's row turns blue and its tooltip reads **Email sent**.

## Troubleshooting

### The window says it will send to customer instead of an address

The order has no customer email address. Use **Send** > **Review & send** and type the address in **Email(s)**.

### Failed to send email. Please try again.

Check these in order:

1. The order has an email address. If not, use **Review & send** and type one in.
2. You haven't reached the Free plan's monthly limit. The message then mentions the limit of 50 invoices.
3. If you send from your own domain, the sender address is still set and verified. See [Change the sender address](https://help.invoicefalcon.com/change-the-sender-address/).

If it still fails, see [Troubleshoot invoice emails](https://help.invoicefalcon.com/troubleshoot-invoice-emails/).

### Send email and Review & send show different addresses

**Send email** uses the email on the customer's Shopify profile. **Review & send** starts with the email on the order itself. The two can differ, for example when the order was placed with a different contact email. Check the address in **Review & send** and correct it before sending.

### Send me a BCC copy is greyed out

You haven't set a copy address yet. Set one under **Copies** in the invoice email settings, which needs the **Pro plan**. See [Send copies of invoice emails](https://help.invoicefalcon.com/send-email-copies/). Or use **Send email** and tick **Send me a copy of the invoice**, which lets you type any address.

### The customer says they didn't get the email

Ask them to check spam, and check the address on the order. Then see [Troubleshoot invoice emails](https://help.invoicefalcon.com/troubleshoot-invoice-emails/).

## FAQ

### Can I send the invoice to a different address than the one on the order?

Yes. Use **Send** > **Review & send** and type the address in **Email(s)**.

### Does changing the message in Review & send change my email template?

No. The changes apply to that one email. To change the text for every email, see [Customize your invoice emails](https://help.invoicefalcon.com/customize-invoice-emails/).

### Can I email the same invoice again?

Yes. Send it as often as you need. It still counts as one order toward the Free plan limit.

### Will the customer see my edits to the invoice?

Yes. The email attaches the current version of the invoice, including any changes you made with **Edit invoice**. See [Edit an invoice](https://help.invoicefalcon.com/edit-an-invoice/).

### Can I email quotes and credit notes the same way?

Yes. Open the draft order or credit note and use the same **Send** menu. For a credit note, use **Review & send** so you can see the address it goes to. See [Send quotes for draft orders](https://help.invoicefalcon.com/send-quotes-for-draft-orders/) and [Create credit notes](https://help.invoicefalcon.com/create-credit-notes/).
