# Send copies of invoice emails

> Get a copy of every automatic invoice email, or copy a second address saved on the customer.

Use this guide if you want a copy of the invoices your customers get, or if some customers need their invoices at a second address, such as their accounts team. By the end, you'll get your own copy of each automatic invoice email, and customers with a second address will have it copied on their invoice emails.

## Before you begin

- Both options need the **Pro plan**.
- **Send me a copy** only covers invoices sent automatically. For an invoice you send yourself, tick the copy box when you send it. See "Copy yourself on an email you send by hand" below.
- Changes apply to emails sent after you save. Emails already sent aren't copied.

## Choose your setup

| Use this | When |
|---|---|
| **Send me a copy** | You, your bookkeeper, or your accounting inbox want a record of every automatic invoice. |
| **Second customer address** | Some customers want their invoices to also go to another address of theirs, for example `accounts@theirbusiness.com`. |

You can use both at the same time.

## What customers will see

- **Send me a copy:** nothing. Your copy is a separate email to your address, so the customer doesn't see it.
- **Second customer address:** the second address is in CC on the customer's invoice email, so both the customer and the second address can see each other.

## Get a copy of every automatic invoice

1. Open your Shopify admin and click **Invoice Falcon** in the left menu.
2. Click **Settings** in the app's menu. The **Emails** tab opens.
3. In the **Invoice emails** section, click the **Copies** box. The email editor opens at **Copies**.
4. Next to **Send me a copy**, click **Turn on**.
5. Under **Your copies**, enter one or more addresses in **Send copies to**. Separate addresses with a comma, for example `accounting@yourstore.com, owner@yourstore.com`.
6. Click **Save** in the bar at the top of the page.

Each time an invoice is sent automatically, every address in **Send copies to** gets its own email with the invoice PDF.

**Send me a copy** works even when **Send invoices automatically** is off. In that case Invoice Falcon creates the invoice for each new order and emails it only to you, not the customer. Your sending rules under **Automatic invoices** still decide which orders count. See [Send invoices automatically](https://help.invoicefalcon.com/send-invoices-automatically/).

## Copy a second address saved on the customer

The second address is stored on each Shopify customer, in a customer metafield. First create the metafield in Shopify, then fill it in for the customers who need it, then tell Invoice Falcon which metafield to read.

1. Create the metafield in your Shopify admin:
   1. Click **Settings** at the bottom left of your Shopify admin.
   2. Click **Metafields and metaobjects**, then **Customers**.
   3. Click **Add definition**.
   4. Give it a name, such as "Invoice email". Shopify shows its namespace and key, such as `custom.invoice_email`.
   5. Choose **Single line text** as the type, then click **Save**.
2. Fill it in for each customer who needs it: open the customer in Shopify, find the metafield in the customer's metafields, and enter the address. For more than one address, separate them with commas.
3. In Invoice Falcon, click **Settings** in the app's menu, and in the **Invoice emails** section click the **Copies** box.
4. Under **Second customer address**, enter the metafield's namespace and key in **Customer metafield**, for example `custom.invoice_email`.
5. Click **Save** in the bar at the top of the page.

From then on, every invoice email to that customer copies the second address. This includes automatic invoices, invoices you send yourself, bulk emails, and payment reminders. Customers with an empty metafield get their emails as usual.

## Copy yourself on an email you send by hand

**Send me a copy** doesn't cover emails you send yourself or bulk emails. On an order's page, you can add a copy for that one email:

- **Send** > **Send email**: tick **Send me a copy of the invoice**. The address from **Send copies to** is filled in, and you can change it. This box is on every plan.
- **Send** > **Review & send**: tick **Send me a BCC copy**. It sends to the address in **Send copies to**, and is greyed out until you've entered one.

See [Email an invoice to a customer](https://help.invoicefalcon.com/email-an-invoice/).

## Check your setup

1. Place a test order in your store using your own email address. If you set up a second address, use a test customer whose metafield holds another address of yours.
2. Wait a minute or two, plus any delay you set for automatic invoices.
3. Check the **Send copies to** inbox for your copy, and the second address for the CC.

In **Settings** > **Emails**, the **Copies** box shows a summary such as "Copy of every invoice to accounting@yourstore.com".

## Troubleshooting

### I don't get a copy when I send an invoice myself

That's expected. **Send me a copy** only copies automatic invoices. When you send one yourself, tick **Send me a copy of the invoice** in the **Send email** window.

### I don't get copies of automatic invoices

Check these in order:

1. **Send me a copy** shows **On** in the **Copies** section, and **Send copies to** has your address with no typos.
2. The order matches your rules under **Automatic invoices**, such as **Only send when** and **Tags**.
3. The order was placed after you turned the copy on.
4. The copy isn't in your spam folder.

### Save fails with Enter the metafield as namespace.key

**Customer metafield** needs the namespace and key joined by a dot, such as `custom.invoice_email`. Copy them from the metafield definition in Shopify, without spaces.

### The second address isn't copied

Open the customer in Shopify and check that the metafield has a valid email address. Then check that **Customer metafield** in Invoice Falcon matches the metafield's namespace and key exactly.

## FAQ

### Can my customer see my copy?

No. Your copy is a separate email to your address. Only the second customer address is visible to the customer, because it's copied on their email.

### Can I get copies sent to more than one address?

Yes. Enter several addresses in **Send copies to**, separated by commas. Each one gets a copy.

### Will I get copies of past invoices?

No. Copies start with the next automatic invoice after you turn **Send me a copy** on.

### Can I get a copy of payment reminders?

Yes, with a separate setting. In the **Payment reminders** editor, enter your address in **Also send to**. See [Send payment reminders](https://help.invoicefalcon.com/send-payment-reminders/).

### Does the second customer address need Send me a copy to be on?

No. The two work separately. You can copy a second customer address without getting a copy yourself.
