Add your business details
Set the business name, address, tax number and contact details printed at the top of your invoices.
Last updated
Use this guide if you want your invoices to show your registered business name, address, tax registration number, email or phone number. By the end, every document you create shows your details in the header, and customers see exactly who the invoice is from.
Before you begin
Section titled “Before you begin”- Business details are shared by all your templates. You enter them once, and every invoice, quote, packing slip and credit note uses them.
- Any field you leave empty uses your Shopify store details instead (from Settings > Store details in your Shopify admin). Shopify has no business name or tax number field for invoices, so those two only print if you enter them here.
- Changing your business details here doesn’t change your Shopify store details.
- Business details are available on every plan. Changing them on a single invoice needs the Pro plan.
Choose your setup
Section titled “Choose your setup”| Use this | When |
|---|---|
| Business details in the visual editor | You’re already customizing a template and want to see the result in the live preview as you type. |
| Your information in Settings > Document defaults | You only want to change your details, without opening a template. It edits the same details. |
| Edit supplier address on one invoice | A single invoice or quote needs different details, for example when you sell on behalf of another company. Needs the Pro plan. |
What customers will see
Section titled “What customers will see”Your details print in the header of the document, next to your logo. Each line only appears when it has a value. From top to bottom:
- Your Shopify store name, in bold.
- Business name.
- Address line 1 and Address line 2.
- City, Province / State.
- Country and Zip / Postal code.
- Your tax number with its label, for example “VAT No.: GB123456789”.
- Your Email and Phone number, each with a small icon.
Set it up
Section titled “Set it up”- Open your Shopify admin and click Invoice Falcon in the left menu.
- Click Templates in the app’s menu.
- Click any template. The template page opens.
- In the Visual editor section, click Open visual editor.
- In the editor’s sidebar, under Content, click Business details.
- Under Business, fill in the fields you want to change: Business name, Address line 1, Address line 2, City, Province / State, Country and Zip / Postal code. An empty field shows your Shopify value in grey, and that value is what prints.
- Under Tax, enter your number in Tax registration number.
- In Tax number shown as, enter the label printed before the number, such as “VAT No.” or “GSTIN”. If you leave it empty, Invoice Falcon saves the usual label for your store’s country when you save.
- Under Contact details, fill in Email and Phone number if you want different ones from your Shopify store.
- Click Save changes in the bar at the top of the editor.
Edit them in Settings instead
Section titled “Edit them in Settings instead”- Click Settings in the app’s menu.
- Click the Document defaults tab.
- In the Your information section, click Edit next to Business, Tax or Contact details.
- Change the fields. They’re the same fields as in the visual editor.
- Click Save in the bar at the top of the page.
Change them on one invoice only
Section titled “Change them on one invoice only”This needs the Pro plan. Your business details and your other invoices stay as they are.
- Click Orders in the app’s menu, then click the order number.
- Click Edit invoice.
- On the Preview tab, hover over your details at the top of the document and click Edit address.
- In Edit supplier address, change the lines you need, then click Apply. The window lists only the lines your template prints. Other lines are on the Form tab, under Supplier address.
- Click Save in the bar at the top of the page.
If you leave Supplier email blank, the invoice prints your store email.
See Edit an invoice for everything else you can change on a single invoice.
Check your setup
Section titled “Check your setup”- Look at the live preview on the right of the visual editor. Your details show in the header as you type.
- Click Orders in the app’s menu and click any order number.
- Check the header of the invoice preview. Existing invoices pick up your new details the next time they’re opened, printed, downloaded or sent.
Troubleshooting
Section titled “Troubleshooting”My province or zip code disappeared after I changed the city or country
City and Province / State work as a pair, and so do Country and Zip / Postal code. As soon as you fill in one field of a pair, the other one stops using your Shopify value. Fill in both fields of the pair and save.
My tax number doesn't print
Check that Tax registration number has a value in Business details, then click Save changes. Shopify doesn’t supply a tax number, so nothing prints until you enter one.
My changes are gone after I closed the editor
The editor only keeps changes when you click Save changes. Clicking Discard, or closing the editor without saving, also undoes changes to your business details. Enter them again and click Save changes.
One invoice still shows my old details
That invoice has its own supplier address, saved from Edit invoice. Later changes to your business details don’t reach it. Open the order, click Edit invoice, and update the supplier address on that invoice.
The wrong email or phone number prints
An empty Email or Phone number uses the one from your Shopify store details. Enter the contact details you want in Business details and click Save changes.
Do I need to enter my details on every template?
No. Business details are shared by all your templates. Saving them from one template updates all of them.
Will invoices I already created show my new details?
Yes. Existing invoices show the new details the next time they’re opened, printed, downloaded or sent. The only exception is an invoice where you changed the supplier address yourself.
Why does my store name print above my business name?
The bold first line is your Shopify store name, and Business name prints under it. To print different details on a single invoice, change its supplier address from Edit invoice (Pro plan).
How do I show two tax numbers?
Enter both in Tax registration number, for example “DE123456789 / GB123456789”, and use a label in Tax number shown as that covers both.
Where do I add my customer's tax ID?
Your customer’s tax ID is a separate setting. See Show tax details on invoices. Business details is only for your own business.
