Email invoices in bulk
Send invoice emails to many customers at once from the Orders page.
Last updated
Use this guide if you want to email invoices for a batch of existing orders, for example orders placed before you turned on automatic sending. By the end, each selected customer gets their invoice email with the PDF attached.
Before you begin
Section titled “Before you begin”- Bulk emails start from the Orders and Drafts tabs of the Orders page. The Credit notes tab has no bulk actions.
- How you select the orders matters:
- Orders you tick yourself, or select all combined with a search: Invoice Falcon creates any missing invoices, then emails them.
- Select all with only filters and no search: only orders that already have an invoice in Invoice Falcon are emailed. Orders that were never invoiced are skipped. The date range is matched against the date the invoice was created, not the order date.
- Every selected customer is emailed, including customers who already got the invoice. There is no “skip if already sent” option.
- On the Free plan, every order you email counts toward your monthly limit of 50 orders. Orders you’ve already printed, downloaded or sent before don’t count again. See How the monthly invoice limit works.
What customers will see
Section titled “What customers will see”The same email they’d get if you sent the invoice yourself from the order page: your invoice email subject and message, with the invoice PDF attached. Draft orders get your quote email. The PDF uses your default template for orders, or for draft orders on the Drafts tab.
To change what the email says, see Customize your invoice emails.
Set it up
Section titled “Set it up”- Open your Shopify admin and click Invoice Falcon in the left menu.
- Click Orders in the app’s menu.
- Click the Orders tab, or the Drafts tab for quotes.
- Optional: narrow the list with the search box and the filters, for example Date range or Financial status.
- Select the orders:
- Tick the checkbox next to each order you want, or tick the checkbox in the list header to select the whole page.
- To go beyond the current page, click Select all orders matching current filters (on the Drafts tab, Select all draft orders matching current filters).
- In the bar above the list, click Send emails.
- Check the count in the Bulk send emails window, then click Send emails.
A green Bulk action started banner appears above the list. The emails go out in the background, so you can leave the page.
Check your setup
Section titled “Check your setup”- Click Bulk actions in the app’s menu.
- Find the Bulk send emails row and click Refresh until the status is Complete.
- Click Details to see which invoices were included under Completed.
- Back on the Orders page, the email icon of each sent order turns blue once the email is logged.
Complete means every email was handed over for sending. It doesn’t confirm delivery. If a customer says they didn’t get theirs, see Troubleshoot invoice emails.
Troubleshooting
Section titled “Troubleshooting”Some orders I selected weren't emailed
If you used Select all orders matching current filters without a search, only orders that already had an invoice were included. Select the missing orders by ticking them yourself, then click Send emails again. Invoice Falcon creates their invoices first.
The bulk email shows Complete but a customer didn't get it
Check that the order has a customer email address in Shopify. Orders without one can’t be emailed, and they aren’t flagged in Details. For other causes, see Troubleshoot invoice emails.
The bulk email failed with Emailed X of Y invoices
Your store reached its daily email limit for stores that haven’t been approved for unlimited sending yet. The invoices listed under Completed in Details were sent, and the ones under Failed were not. Our team reviews the store, and you get an email once it’s approved. Send the rest after that. See Troubleshoot invoice emails.
The bulk email failed with Email sending is disabled for this store
Invoice Falcon has paused all email for your store. Contact support from the chat in the app.
The window shows the monthly limit message
On the Free plan, Invoice Falcon checks your selection before it starts. If the new orders in it would take you past 50 this month, nothing is sent. Select fewer orders, wait for your limit to reset, or upgrade. See How the monthly invoice limit works.
Customers with a different fulfillment status were emailed
Select all orders matching current filters doesn’t apply the Fulfillment status filter. Tick the orders yourself instead, or use a Shopify search in the search box.
Will customers who already got their invoice get it again?
Yes. A bulk email sends to every selected order, whether or not the invoice was sent before. Leave those orders out of your selection if you don’t want to resend.
Does a bulk email change my invoices?
Only to bring them up to date. Each invoice is refreshed with the latest order details from Shopify before it’s sent. Locked invoices stay as issued. If you’ve edited an invoice by hand, leave it out of the bulk email and send it from its order page instead. See Email an invoice to a customer.
Do I get a copy of each email?
No. Send me a copy only covers invoices sent automatically. Bulk and manual sends aren’t copied. See Send copies of invoice emails.
Can I stop a bulk email after I start it?
Not reliably. Invoice Falcon queues all the emails within moments of starting, and cancelling on Bulk actions doesn’t recall emails already queued. Check your selection before you click Send emails.
Can I change the email text for just this batch?
No. Bulk emails use your saved subject and message. To write a one-off message, send from the order page with Review & send. See Email an invoice to a customer.
