Use this guide to find your way around the Templates page. Templates decide how your invoices, quotes, packing slips and credit notes look. By the end, you’ll know which template each document uses and how to add, copy or remove one.
Before you begin
Section titled “Before you begin”- New stores start with three templates: Default invoice (used for orders), Default quote (used for draft orders) and Default packing slip. If your store used Invoice Falcon before the current version, your starting templates may have other names, such as Classic invoice.
- Saving changes to a template also changes how existing invoices look the next time they are printed, downloaded or sent, because each PDF is rebuilt with the template as it is now. The invoice number and order details don’t change.
- Deleting a template can’t be undone, and the app doesn’t warn you if the template is in use.
What customers will see
Section titled “What customers will see”Customers see the template only through the documents you send or print: the invoice PDF attached to an email, a printed packing slip, or a downloaded quote. Which template is used for each document is shown in the Default for column.
The Templates page
Section titled “The Templates page”- Open your Shopify admin and click Invoice Falcon in the left menu.
- Click Templates in the app’s menu. The Manage templates page opens.
The list has these columns:
| Column | What it shows |
|---|---|
| Name | The template’s name. Click it to open the template. |
| Default for | Which documents use this template: Orders, Draft orders, Credit notes, or None. Click it to change. See Rename a template and set a default. |
| Last modified | When the template was last saved. |
| Edit | A button that opens the template, same as clicking the row. |
Which template a document uses
Section titled “Which template a document uses”| Document | Template used |
|---|---|
| Invoice for an order | The template that is Default for Orders. |
| Quote for a draft order | The template that is Default for Draft orders. |
| Credit note | The template that is Default for Credit notes. |
| Packing slip | Your most recently created packing slip template. Packing slips have no default setting. |
If no template is the default for a document, Invoice Falcon uses the most recently created invoice template. To print or download one order with a different template, pick it in the Templates card on the order’s page. See Print or download an invoice.
Create a template
Section titled “Create a template”- On the Manage templates page, click Create template. The Choose a design page opens.
- Click Use this design on the design you want.
The new template opens, named after the design. It isn’t the default for anything yet. See Choose a template design.
Duplicate a template
Section titled “Duplicate a template”Duplicate a template to try changes without touching the one your invoices use.
- Click the template’s name in the list. The template page opens.
- Click More actions at the top of the page.
- Click Duplicate.
The copy is named after the original with (copy) at the end, keeps the same logo and settings, and isn’t the default for anything. You land on the copy’s page.
Delete a template
Section titled “Delete a template”- Click the template’s name in the list. The template page opens.
- Click More actions at the top of the page.
- Click Delete.
- In the Delete template window, click Delete.
Before you delete a template that is the default for something, set another template as the default first. Otherwise those documents switch to your most recently created invoice template.
Check your setup
Section titled “Check your setup”- On the Manage templates page, check that each of Orders, Draft orders and Credit notes appears in exactly one row of the Default for column.
- Open an order from Orders, click Actions, then click Print to see the invoice with its default template.
Troubleshooting
Section titled “Troubleshooting”Credit notes print with a design I didn't expect
No template is the default for credit notes, so the most recently created invoice template is used, which may be one you just made from a design. Click the Default for cell on the template you want and choose Credit notes.
Packing slips changed after I duplicated a template
Packing slips always use the most recently created packing slip template. Duplicating a packing slip template makes the copy the newest one. Delete the copy, or edit it to match what you want.
Name has already been taken
Each template needs its own name. Change the Template name to something not used by another template, then click Save.
I deleted a template by mistake
Deleting can’t be undone. Create a new template from a design, or duplicate a similar one, then set it as the default again.
Will editing a template change invoices I already sent?
Yes, the next time they are printed, downloaded or sent. Each PDF is rebuilt with the template as it is now. A PDF a customer already downloaded doesn’t change. The invoice number and order details stay the same.
How many templates can I have?
There is no limit in the app. Most stores need one invoice template, one quote template and one packing slip template.
Can I use one template for invoices and quotes?
Yes. Open the Default for cell on that template and choose both Orders and Draft orders.
Can I go back to an earlier version of a template?
Yes. Open the template, click More actions, then Version history. See Restore an earlier template version.
Do templates cost extra?
No. Creating, editing and duplicating templates is on every plan. Only the AI editor and hiding the Invoice Falcon footer need the Pro plan.
