Regenerate an invoice

Rebuild an invoice from the latest Shopify order data.

Last updated

Use this guide if an invoice doesn’t match its Shopify order, for example after you edited the invoice, or turned on invoice locking, and then the order changed. By the end, the invoice shows the order exactly as it is in Shopify now.

  • Regenerate removes every edit you made with Edit invoice, including added products, changed totals, notes and the language you picked. This can’t be undone.
  • It also overwrites an invoice that is locked by Lock invoices once they’re issued. If you use locking for legal reasons, only regenerate when you are allowed to change an issued invoice. See Keep issued invoices unchanged.
  • Most invoices don’t need this. Unless an invoice is edited or locked, it already updates when the order changes in Shopify.
  • Regenerate works for orders and draft orders. Credit notes can’t be regenerated.

Nothing changes for the customer until you send the invoice again. Regenerating doesn’t email anyone, and invoices you already sent stay as they were in the customer’s inbox. The invoice number stays the same.

  1. Open your Shopify admin and click Invoice Falcon in the left menu.
  2. Click Orders in the app’s menu.
  3. Click the order number in the Order # column. For a quote, use the Drafts tab.
  4. Optional: in the Templates sidebar, pick the template you want the new PDF in.
  5. At the top of the page, open the Other menu and click Regenerate.
  6. If the invoice has edits, a window called Overwrite manual edits? opens. Click Regenerate to continue, or Keep my edits to stop.

You’ll see “Regenerating invoice from Shopify order…” and then “Invoice regenerated”. The preview updates.

To send the updated invoice to the customer, use the Send menu. See Email an invoice to a customer.

  1. Compare the preview with the order in Shopify: products, prices, addresses and payment status should match.
  2. The Edited badge next to the invoice number is gone.
Regenerate isn't in the Other menu

You’re on a credit note, which can’t be regenerated. If a credit note is wrong, edit it with Edit invoice, or delete it and create it again. See Create credit notes.

Failed to regenerate invoice from shopify order

Invoice Falcon couldn’t read the order from Shopify. Check that the order still exists in Shopify, then try again.

The invoice still shows old details after regenerating

The new PDF uses the template selected in the Templates sidebar. Reload the page and check the preview. If a detail comes from your template or settings, such as your business address, change it there instead. See Add your business details.

I regenerated by mistake and lost my edits

Edits can’t be restored. Click Edit invoice and make the changes again. See Edit an invoice.

Does regenerating change the invoice number?

No. The invoice keeps its number.

Will the customer be emailed the new version?

No. Regenerating never sends an email. Send the updated invoice yourself from the Send menu.

Does regenerating count toward my Free plan limit?

No. Only printing, downloading and emailing count.

Does regenerating update a credit note I already made for this order?

No. A credit note is a separate document. It keeps what it had when you created it.

Why didn't my invoice update on its own when the order changed?

Because it was edited, or invoice locking is on. Both stop Shopify updates on purpose. Regenerate brings the invoice back in line with the order.
