Change labels and the date format
Rename the words printed on your invoices, such as the title or Tax, and pick how dates are written.
Last updated
Use this guide if you want different wording on your invoices, for example “Tax Invoice” instead of “Invoice” or “VAT” instead of “Tax”, or dates written as 30/01/2023. By the end, your invoices use your words and your date format.
Before you begin
Section titled “Before you begin”- Labels and the date format are set per template. If you use several templates, change each one.
- A label you change is used in every language. If you send invoices in more than one language, see Choose your setup first.
- Labels can be up to 100 characters.
- Changing labels and the date format is on every plan.
Choose your setup
Section titled “Choose your setup”| Use this | When |
|---|---|
| Labels in the visual editor | You want the same wording on every invoice from this template, in every language. |
| Automatic translation in Settings | You send invoices in several languages and want each one fully translated. Leave the labels blank so each language uses its own words. See Invoices in your customer’s language. |
| Editing one invoice | You need different wording on a single invoice. This needs the Pro plan. See Edit an invoice. |

Troubleshooting
Section titled “Troubleshooting”My new label shows in every language
That’s how labels work: a changed label replaces the wording in all languages. Clear the field so each language uses its own translation, and click Save changes.
A label didn't change on one invoice
That invoice has its own wording, set when it was edited, or its language was picked by hand on the invoice. Edit that invoice to change it. See Edit an invoice.
The label I want isn't in the list
Only the labels listed can be changed in the visual editor. For any other text, edit the template’s code. See Edit a template’s HTML and Liquid code.
The template won't save after I changed a label
A label is longer than 100 characters. Shorten it and click Save changes again.
Dates still show the old format
Check you changed the template your invoices use, which is the default for Orders, and clicked Save changes. See Rename a template and set a default.
Will new labels show on invoices I already sent?
Yes, the next time those invoices are printed, downloaded or sent, like any template change. A PDF a customer already downloaded doesn’t change.
Can I call my invoice a Tax Invoice?
Yes. Type Tax Invoice in Invoice title under Document titles, then click Save changes.
Can quotes and credit notes have their own titles?
Yes. Use Quote title and Credit Note title under Document titles.
Can I change PAID and UNPAID on the watermark?
Yes. Use Paid Watermark and Unpaid Watermark under Other. See Add a paid or unpaid watermark.
Can I ask the AI editor to rename labels?
Yes, on the Pro plan. Try “rename Subtotal to Net amount”. See Edit templates with AI.
