Find your way around the Orders page

What each part of the Orders page shows, from the tabs and filters to the plan and analytics boxes.

Last updated

Use this guide to find your way around the Orders page, the home page of Invoice Falcon. It lists your Shopify orders, draft orders and credit notes, lets you print, download or email any of them in one click, and shows your plan usage and document totals.

  • The list shows your orders live from Shopify, including ones that don’t have an invoice yet. An invoice is created the first time you open, print, download or email an order. See When Invoice Falcon creates an invoice.
  • To open the page, open your Shopify admin, click Invoice Falcon in the left menu, then click Orders in the app’s menu.

From top to bottom:

  1. Get set up on Invoice Falcon: the setup checklist, shown to new stores until it’s finished or skipped. See What to do after installing Invoice Falcon.
  2. Plan and Analytics: your plan, this month’s usage, and your document totals. See “Plan and analytics boxes” below.
  3. The list, with the Orders, Drafts and Credit notes tabs.
  4. Latest updates: recent features, each with a button to try it.
Tab Shows Click a row to
Orders Your Shopify orders and their invoices. Open the order page, with the invoice preview.
Drafts Your Shopify draft orders and their quotes. Open the draft order page, with the quote preview.
Credit notes Credit notes you’ve created. Open the credit note.

Click the order number, or anywhere on the row, to open it.

  1. Click the search and filter button (the magnifying glass) at the top right of the list.
  2. Type in the search box. On Orders and Drafts, search works like the search in Shopify’s own Orders page. On Credit notes, search by credit note number, original invoice number, or customer email.
  3. Use the filter buttons under the search box:
    • Financial status (Orders tab): Paid, Pending, Refunded, Partially paid, Authorized or Voided.
    • Fulfillment status (Orders tab): Fulfilled, Unfulfilled, Partially fulfilled, In progress or On hold.
    • Status (Drafts tab): Open, Invoice sent or Completed.
    • Date range: Today, Yesterday, Last 7 days, Last 30 days, Last 90 days, All time, or Custom with a Start date and End date.
    • Columns: tick Customer name or Fulfillment status to add those columns.

Applied filters show as tags above the list. Click the X on a tag to remove it. Change how many rows you see with Per page under the list: 10, 25, 50 or 100. Invoice Falcon remembers your Columns and Per page choices in this browser.

On the Orders tab:

  • Order #: the Shopify order number.
  • Invoice #: the invoice number, or - if the order has no invoice yet.
  • Financial status, Customer (email), Order date and Amount.
  • Customer name and Fulfillment status, if you turned them on under Columns.
  • E-invoice: only for German stores with e-invoicing turned on. See Create German e-invoices (ZUGFeRD).
  • Actions: the print, download and email icons.

The Drafts tab has Draft #, Invoice #, Status, Customer, Created date and Amount. The Credit notes tab has Credit note #, Original invoice #, Customer, Date and Amount.

Each row has three icons under Actions:

Icon Does Turns blue when
Printer, Print invoice Opens the PDF in a new tab, ready to print. It has been printed.
Arrow, Download invoice Saves the PDF to your computer. It has been downloaded.
Envelope, Send email Opens the Send invoice email dialog. An invoice email has been sent, by you or automatically.

The icons use your default template for that document type. To use a different template for one order, open the order and pick the template there. See Print or download an invoice and Email an invoice to a customer.

On the Orders and Drafts tabs:

  1. Tick the checkbox on each row you want. To select every row on the page, tick the checkbox in the header.
  2. Optional: click Select all orders matching current filters to include matching orders on other pages too.
  3. Click Print invoices, Download invoices or Send emails in the bar that appears.

Bulk print and download build a file you download from Bulk actions. They don’t open your browser’s print dialog. See Print or download invoices in bulk and Email invoices in bulk. The Credit notes tab has no bulk actions.

Plan shows:

  • Plan: your plan name. On the Free plan it also shows the date your monthly count resets, and an Upgrade to Pro button.
  • Invoices this month: how many orders and draft orders have counted toward your plan this month. On the Free plan this reads, for example, 12 of 50, changes color from 40, and turns red at 50. On Pro it reads “of unlimited”. See How the monthly invoice limit works.

Analytics shows how many Invoices, Quotes and Credit notes Invoice Falcon has created for your store in total. Click a tile to open the matching tab. The numbers are loaded when the page opens, so refresh the page to see new ones.

Invoice # shows a dash

The order has no invoice yet. Click the order to open it, or use one of its row icons, and the invoice is created. See When Invoice Falcon creates an invoice.

Today's orders are missing from Last 7 days

Last 7 days, Last 30 days and Last 90 days end yesterday. Choose Today, All time, or a Custom range that ends today.

Select all included orders outside my Fulfillment status filter

Select all orders matching current filters doesn’t apply the Fulfillment status filter. Use a Financial status, Date range or search to narrow the list instead, or tick the rows you want one by one.

Clicking an icon shows a monthly limit message

You’ve used the Free plan’s 50 orders this month. Orders you’ve already printed, downloaded or emailed still work. Wait for the reset date shown in the Plan box, or click Upgrade to Pro. See How the monthly invoice limit works.

The print icon didn't open the invoice

Your browser blocked the new tab. Click Open invoice PDF in the message that appears, or allow pop-ups for your Shopify admin.

We couldn't load your orders

Click Try again. If it keeps happening, reload the page or contact support.

Does opening an order count toward my Free plan limit?

No. Opening an order to preview its invoice doesn’t count. Printing, downloading and emailing do, once per order each month.

Why do I see orders that have no invoice?

The list comes straight from Shopify, so every order shows up. Invoice Falcon only creates the invoice when it’s needed.

Do the analytics numbers include packing slips?

No. The Analytics box counts invoices, quotes and credit notes only.

Can I see my analytics for one month?

No. The Analytics tiles show all-time totals. Invoices this month in the Plan box shows the current month’s usage.

How do I create a credit note?

Open the order, click the Other menu at the top of the page, then click Create credit note. See Create credit notes.
