Show order numbers, dates and tags
Choose which order numbers, dates, amounts and tags print in the header of your invoices.
Last updated
Use this guide if you want to control the order details at the top of your invoices: the order and invoice numbers, the PO number, dates like the due date, the order amount and order tags. By the end, customers see exactly the reference numbers and dates they need to match your invoice to their order.
Before you begin
Section titled “Before you begin”- These settings belong to one template. Change each template you use, for example your invoice and your quote template.
- Every setting here is available on every plan.
- Changes also apply to invoices you already created, the next time they’re opened, printed, downloaded or sent.
- A detail only prints when the order has it. For example, the PO number only appears on orders that have one.
What customers will see
Section titled “What customers will see”The details print in the order information block near the top of the document, one per line, for example “Order: #1001” or “Due Date: Nov 4, 2026”.
| Checkbox | What prints |
|---|---|
| Order number | The Shopify order number, for example #1001. |
| Invoice number | The invoice number. To add a prefix or use your own sequence, see Set invoice numbers and prefixes. |
| PO number | The purchase order number on the Shopify order, if there is one. |
| Delivery note number | A delivery note number you type on the invoice yourself. Shopify has no field for it. Standard and the newer designs print it; Classic templates don’t. |
| Order date | The date the order was placed. |
| Fulfillment date | The date the order was marked fulfilled in Shopify. Unfulfilled orders don’t show it. |
| Issue date | The invoice date. It’s the order date unless you change it on the invoice. |
| Due date | The date payment is due, if the order has one. See Due dates below. |
| Payment terms | The order’s Shopify payment terms, for example “Net 30”. |
| Order amount | The order total, in bold, for example “Amount: $150.00”. |
| Order tags | The order’s Shopify tags, separated by commas. |
Custom invoice number only changes packing slips: there, it prints the invoice number instead of the order number. It has no effect on invoice templates.
Set it up
Section titled “Set it up”- Open your Shopify admin and click Invoice Falcon in the left menu.
- Click Templates in the app’s menu.
- Click the template you want to change. The template page opens.
- In the Visual editor section, click Open visual editor.
- In the editor’s sidebar, under Content, click Order information.
- Under Order identification, check the numbers you want to print: Order number, Invoice number, PO number and Delivery note number.
- Under Order dates, check the dates you want: Order date, Fulfillment date, Issue date, Due date and Payment terms.
- Optional: open the Select date format dropdown and pick how dates print, for example 30/01/2023.
- Under Order details, check Order amount and Order tags if you want them.
- Click Save changes in the bar at the top of the editor.
To change the words before each value, such as “Order” or “PO Number”, see Change labels and the date format.
Due dates
Section titled “Due dates”The due date prints only when the order has one. An order gets a due date from:
- Its payment terms in Shopify, such as Net 30.
- The Due after (days) setting for payment reminders, for orders that aren’t paid yet.
On the Pro plan, you can also set or change the due date, the issue date and the PO number on a single invoice, and type its delivery note number. The delivery note number is under Invoice details on the editor’s Form tab. See Edit an invoice.
Check your setup
Section titled “Check your setup”- Look at the live preview on the right of the visual editor. It uses a sample order, so it may show details your real orders don’t have.
- Click Orders in the app’s menu and click an order number.
- In the Templates card on the right, select the template you changed.
- Check the order information in the invoice preview.
Troubleshooting
Section titled “Troubleshooting”The due date doesn't show
The order has no due date. Add payment terms to the order in Shopify, or set Due after (days) for payment reminders. On the Pro plan, you can also type a due date on the invoice from Edit invoice.
The PO number doesn't show
It only prints when the Shopify order has a PO number. Orders without one show nothing, even with PO number checked.
The fulfillment date or order tags are missing on an older invoice
The invoice was created before the order was fulfilled or tagged. Open the order in Invoice Falcon, open the Other menu and click Regenerate to rebuild the invoice from the Shopify order. Regenerating replaces any changes you made with Edit invoice.
Custom invoice number does nothing
That setting only applies to packing slip templates. On invoices, use Invoice number and see Set invoice numbers and prefixes.
I changed a setting but the invoice looks the same
Check which template the invoice uses. On the order page, the selected template is shown in the Templates card. Make the change in that template, or set a default template.
Do these settings change invoices I already created?
Yes. Existing invoices use the new settings the next time they’re opened, printed, downloaded or sent. Invoices you already emailed stay as they were in the customer’s inbox.
Will customers see my internal order tags?
Yes, if Order tags is checked, every tag on the order prints. Leave it unchecked if your tags are for internal use.
What's the difference between Order amount and the totals?
Order amount repeats the order total in the header, so customers see it at a glance. The full totals, with subtotal, shipping and tax, still print below the items. See Show totals, discounts and shipping.
Which order date does a credit note show?
The date of the original order. The credit note’s own date is its issue date.
Can I show the date as 30/01/2023?
Yes. Pick it in the Select date format dropdown under Order dates. The format applies to every date on the template.
