Edit an invoice
Change the details, products or totals on one invoice without changing the order in Shopify.
Last updated
Use this guide if you need to correct one invoice, such as an address, a date, a price or a product name, without editing the order in Shopify. By the end, the invoice PDF shows your changes, and any invoice you print or email for that order uses them.
Before you begin
Section titled “Before you begin”- Editing invoices needs the Pro plan. On the Free plan, Edit invoice opens an Upgrade to edit invoices window instead. Stores that installed before 8 July 2026 can edit on the Free plan.
- Your edits change this invoice only. The Shopify order stays as it is.
- Once you save an edit, the invoice stops updating from Shopify. Later changes to the order, such as a refund or an order edit, no longer reach it. The only way to bring Shopify’s data back is Regenerate, which removes all your edits.
- Totals are not recalculated for you. If you change a price or add a product, update the totals yourself on the Form tab.
Choose your setup
Section titled “Choose your setup”The editor has two tabs. Use whichever suits the change; both save together.
| Use this | When |
|---|---|
| Preview | You want to click on the invoice and type over the text you see. |
| Form | The field isn’t clickable on the preview, your template doesn’t print it, or you want to change totals or labels. |
What customers will see
Section titled “What customers will see”The edited invoice, wherever you send or print it from Invoice Falcon: emails, prints, downloads and bulk actions. Shopify’s own order page and order emails don’t change.
Set it up
Section titled “Set it up”Open the editor
Section titled “Open the editor”- Open your Shopify admin and click Invoice Falcon in the left menu.
- Click Orders in the app’s menu.
- Click the order number in the Order # column. For a quote, use the Drafts tab. For a credit note, use the Credit notes tab.
- At the top of the page, click Edit invoice. The edit page opens with the Preview and Form tabs.
Edit on the Preview tab
Section titled “Edit on the Preview tab”- Click any text with a dashed underline and type your change. Press Enter to keep it, or Esc to cancel.
- To change an address, hover over the billing, shipping or your own (supplier) address, click Edit address, change the lines, and click Apply. The window lists only the lines your template prints. To change any other line, use the Form tab.
- To add a note to this invoice, click Add custom note, type the Note, and click Apply.
- To remove a product, hover over its row and click the ✕.
- To add a product, click + Add product under the products table, then follow the steps under “Add a product” below.
- Click Save in the bar at the top of the page.
Edit on the Form tab
Section titled “Edit on the Form tab”- Click the Form tab.
- Find the section you need: Invoice details, Customer, Supplier address, Shipping address, Billing address, Line items, Totals, Notes or Labels.
- Change the fields. If a field isn’t shown, click the link under the section that starts with Show, for example Show 2 fields this template does not print.
- Click Save in the bar at the top of the page.
To empty an amount, enter 0. Amounts, the invoice number, the order number, the invoice date, the order date and product names can’t be left blank. Dates use the format YYYY-MM-DD.
To add a delivery note number, type it in Delivery note number under Invoice details. It only prints if the template has Delivery note number checked. See Show order numbers, dates and tags.
Add a product
Section titled “Add a product”- Click + Add product on the Preview tab, or Add product under Line items on the Form tab.
- Search by product name or SKU, tick the variants you want, and click the Add button, for example Add 1 product.
- For something that isn’t in your store, such as a service, click Can’t find it? Add a custom product, enter the Product name, Quantity and Unit price, and click Add product.
- On the Form tab, update the figures under Totals if they need to change.
Change a product’s tax rate
Section titled “Change a product’s tax rate”- Change the rate in either place:
- On the Preview tab, click the tax rate on the product’s row and type the new rate. This works when your template prints item tax rates.
- On the Form tab, find the product under Line items and change its rate field, for example VAT rate (%). A product with more than one tax has a field for each one.
- To add a tax to a product that has none, enter a rate in its Tax rate (%) field on the Form tab.
- Click Save in the bar at the top of the page.
A rate must be a number from 0 to 100. The tax breakdown on the invoice follows the new rate, but the totals don’t, so update Tax and Total under Totals yourself. 5. Click Save in the bar at the top of the page.
Change the invoice language
Section titled “Change the invoice language”While editing, click the Language button at the top of the page and pick a language. This translates the invoice’s labels, such as Subtotal and Total. Text you typed, product names and addresses stay as they are. Click Save to keep it.
To undo everything you changed since the last save, click Discard in the bar at the top. You stay in the editor.
Check your setup
Section titled “Check your setup”- After you save, the page shows “Invoice updated” and the preview rebuilds with your changes.
- The invoice now has an Edited badge next to its number.
- Click Actions > Download PDF and check the file.
Troubleshooting
Section titled “Troubleshooting”Clicking Edit invoice opens an upgrade window
Editing invoices needs the Pro plan. Click See plans to compare, or Upgrade now. See Invoice Falcon pricing and plans.
I can't find the Edit invoice button
It appears once the invoice has loaded and a template is selected in the Templates sidebar. Wait for the preview to finish loading. If the sidebar says it couldn’t load your templates, reload the page.
The field I need isn't underlined on the preview, or is missing from Edit address
Some templates print a field in a way that can’t be clicked, or don’t print it at all. The Edit address window only lists the lines your template prints. Switch to the Form tab, which lists every field.
I changed a price but the total didn't change
Totals aren’t recalculated. Open the Form tab and update Subtotal, Tax, Total and the other figures under Totals.
A refund or order change in Shopify doesn't show on the invoice
Edited invoices stop updating from Shopify. Either make the change by hand with Edit invoice, or use Other > Regenerate to rebuild the invoice from the order, which removes your edits. See Regenerate an invoice.
A field shows an error when I save
Amounts can’t be empty: enter 0 instead. Dates must be written as YYYY-MM-DD, for example 2026-10-05.
Does editing an invoice change the order in Shopify?
No. Your changes are stored on the invoice only. Products you add or remove don’t change the Shopify order.
Do my edits affect other invoices?
No. Each edit applies to one invoice. To change something on every invoice, such as your business address or a label, edit your template instead. See Customize a template in the visual editor.
Will the customer get the edited invoice automatically?
No. Saving an edit doesn’t email anyone. Send it yourself from the Send menu. See Email an invoice to a customer.
Can I edit quotes and credit notes too?
Yes. Open the draft order or credit note and click Edit invoice. For example, edit a credit note so it only shows the refunded products.
How do I undo my edits after saving?
Use Other > Regenerate. It rebuilds the invoice from the Shopify order and removes every edit. See Regenerate an invoice.
