Track your bulk actions
Follow the progress of bulk prints, downloads and emails, download the files, and see which orders failed.
Last updated
Use this guide once you’ve started a bulk print, download or email from the Orders page. It shows where to follow the progress, get your file, cancel an action, and find orders that didn’t make it.
Before you begin
Section titled “Before you begin”- Bulk actions are started from the Orders page, not from the Bulk actions page. Select orders on the Orders or Drafts tab, then click Print invoices, Download invoices or Send emails. See Print or download invoices in bulk and Email invoices in bulk.
- The Bulk actions page doesn’t update on its own. Click Refresh on a row, or reload the page, to see the latest progress.
Open the Bulk actions page
Section titled “Open the Bulk actions page”- Open your Shopify admin and click Invoice Falcon in the left menu.
- Click Bulk actions in the app’s menu.
Right after you start an action, you can also click View Bulk Actions in the green Bulk action started banner on the Orders page.
The list shows your most recent actions first, 10 per page. Each row has:
| Column | What it shows |
|---|---|
| Action | What ran, for example Bulk print orders, Bulk download orders (separate) or Bulk send emails. “(separate)” means one PDF per invoice in a ZIP. Without it, the invoices were merged into one PDF. |
| Status | Where the action is, see below. |
| Items | A progress bar while it runs. Afterwards, the number of items and how many failed, or the reason it failed. |
| Date | When you started it. |
| Actions | The buttons for that row. |
What each status means
Section titled “What each status means”| Status | Meaning |
|---|---|
| Preparing | Invoice Falcon is collecting the orders that match your filters. |
| Pending | The action is queued and about to start. |
| Processing | Invoices are being generated or emails are being queued. |
| Finalizing | The PDFs are being merged or zipped. |
| Complete | Done. For prints and downloads, the file is ready. |
| Failed | The action stopped. The reason shows in the Items column. |
| Cancelled | You cancelled it. |
Download your file
Section titled “Download your file”- Find the row and click Refresh until the status shows Complete.
- Click Download on the row.
You get a single PDF when the merged file fits in one part, otherwise a ZIP. For Separate downloads, Invoice Falcon also emails you the download link. Bulk emails have no file.
Cancel an action
Section titled “Cancel an action”- Find the row. The cancel button only shows while the action is Preparing, Pending, Processing or Finalizing.
- Click the red X button (tooltip Cancel action).
A Bulk action cancelled. message appears. If some invoices were already generated, Invoice Falcon still packages those into a file, so the row can end as Complete with fewer items. Cancelling a bulk email doesn’t recall emails that were already queued.
A cancelled action can’t be resumed. Start a new one from the Orders page.
See which orders failed
Section titled “See which orders failed”- Click Details on the row. The Bulk action details window opens.
- Check:
- Action, Status, Created and Progress at the top.
- Why this failed, if the whole action failed.
- Date range, if you used a date filter.
- Failed, the invoices or orders that couldn’t be generated or sent.
- Completed, the ones that worked.
- Click Close.
To retry failed orders, select them on the Orders page and start a new bulk action.
Troubleshooting
Section titled “Troubleshooting”The progress bar isn't moving
The page doesn’t refresh by itself. Click Refresh on the row. Large actions can take a while, especially in Finalizing, where many PDFs are merged.
The action failed with a timed out or could not combine message
Messages such as “Processing the documents timed out” or “Could not combine the generated PDFs” mean the batch was too heavy to finish. Start it again with a smaller Date range, or use Separate instead of Bundle.
The action failed with No documents were generated
None of the selected orders produced an invoice, for example because the filters matched no orders. Check your filters on the Orders page and try a different date range.
The action failed because it's over the 5,000 item limit
One bulk action can include up to 5,000 orders. Split the work into smaller date ranges and run one action per range.
Some orders are listed under Failed
Open Details to see which ones. On the Free plan, orders beyond your monthly limit of 50 fail this way. See How the monthly invoice limit works. For other orders, open the order on the Orders page and print it from there. If it prints, run a new bulk action for the failed orders. If it doesn’t, contact support from the chat in the app.
A bulk email shows Complete but a customer didn't get the email
Complete means the emails were handed over for sending, not that each one was delivered. See Troubleshoot invoice emails.
Can I start a new bulk action while one is running?
Not another print or download. Only one can be processing at a time, so wait for it to finish or cancel it. A bulk email can start while a print or download runs.
Will I get a notification when it's done?
Only for Separate prints and downloads, which email you the download link. For merged (Bundle) files and bulk emails, check the Bulk actions page.
Why does my draft order export say Bulk print orders?
All bulk actions share one list and one set of names. A bulk print or download started from the Drafts tab is labelled Bulk print orders or Bulk download orders too, but the file holds your quotes.
Does cancelling undo anything?
No. Invoices that were already generated stay in Invoice Falcon, and emails that were already queued are still sent.
