Print or download an invoice

Print one invoice or save it as a PDF, from the Orders list or the order's page.

Last updated

Use this guide if you want to print a single invoice or save it as a PDF file. By the end, you’ll have the invoice open in a new browser tab, ready to print, or saved to your computer as a PDF.

  • On the Free plan, printing or downloading an invoice counts toward your monthly limit of 50 orders. Each order counts once, however often you print it, and just opening an order to preview it doesn’t count. See How the monthly invoice limit works.
  • Printing opens the invoice in a new browser tab. If your browser blocks pop-ups for the Shopify admin, allow them so the tab can open.
  • To print many invoices at once, see Print or download invoices in bulk.
Use this When
The icons on the Orders list You want the invoice in your default template, fast.
The Actions menu on the order’s page You want to preview the invoice first, or print it with a different template, such as a packing slip.

Nothing. Printing or downloading doesn’t email the customer or change the order in Shopify. A downloaded file is named after the invoice number, unless you set your own file name.

  1. Open your Shopify admin and click Invoice Falcon in the left menu.
  2. Click Orders in the app’s menu.
  3. Find the order. You can type an order number or customer email in the Search orders… box.
  4. In the order’s row, under Actions, click the icon you need:
    • The printer icon (Print invoice) opens the invoice PDF in a new tab.
    • The arrow icon (Download invoice) saves the PDF to your computer.
  5. To print, use your browser’s print command in the new tab (Ctrl+P on Windows, Cmd+P on Mac).

The list always uses the template set as the default for orders. On the Drafts tab the same icons print or download quotes.

  1. Open your Shopify admin and click Invoice Falcon in the left menu.
  2. Click Orders in the app’s menu.
  3. Click the order number in the Order # column. The order’s page opens with the invoice preview on the left and the Templates sidebar on the right.
  4. Optional: in the Templates sidebar, click the radio button of another template. The preview updates.
  5. Above the preview, open the Actions menu and click Print or Download PDF.

The template you pick in the sidebar applies only to this page. Your default template doesn’t change. To change the default, see Rename a template and set a default.

The same name is used for downloads and for the PDF attached to invoice emails.

  1. Click Settings in the app’s menu.
  2. Click the Document defaults tab.
  3. In the PDF file name section, type a name in Download/attachment file name. You can use {{shop.name}}, {{order.name}} and {{invoice.number}}, for example {{shop.name}} invoice {{invoice.number}}. Don’t type .pdf; it’s added for you.
  4. Click Save in the bar at the top of the page.

Symbols that don’t work in file names, such as # and /, are removed at the start of a word and replaced with - inside one. Leave the field empty to go back to the defaults: downloads are named after the invoice number, and email attachments after the order number, for example 1001.pdf.

  1. Print a test order from the order’s page.
  2. Go back to Orders. The printer icon in that order’s row turns blue, and its tooltip now reads invoice printed. The download icon works the same way.
  3. The Invoice # column now shows a number for the order.
The new tab didn't open

Your browser blocked it. Invoice Falcon shows “Your browser blocked the invoice tab.” with an Open invoice PDF link. Click the link, and allow pop-ups for the Shopify admin so it doesn’t happen again.

I see a message about the monthly limit of 50 invoices

Your store is on the Free plan and has used its 50 orders for this month. Orders you already printed or emailed before can still be printed. For new orders, wait for the limit to reset or upgrade to Pro. See How the monthly invoice limit works.

The printed invoice uses the wrong template

The Orders list always uses your default template for orders. Either print from the order’s page and pick the template in the Templates sidebar, or change your default template.

The invoice shows old order details

Invoices normally update when the order changes in Shopify. They don’t if you edited the invoice in Invoice Falcon (it shows an Edited badge), or if you turned on invoice locking. To pull fresh data, see Regenerate an invoice.

Invoice PDF could not be generated

Try again in a minute. If it keeps failing, open the order’s page, which shows more detail about the problem, and contact support from there.

Does printing an invoice send it to the customer?

No. Printing and downloading never email anyone. To send it, see Email an invoice to a customer.

Does printing the same invoice twice use up two of my 50 free invoices?

No. Each order counts once, no matter how often you print, download or email it.

Why does an order show a dash in the Invoice # column?

Invoice Falcon hasn’t created that invoice yet. It creates the invoice the first time you open, print, download or email the order. See When Invoice Falcon creates an invoice.

Can I print from my Shopify admin without opening the app?

Yes. Use Shopify’s Print menu on an order. See Print invoices from your Shopify admin.

Does picking a template on the order's page change my default?

No. The choice only applies while you’re on that page. Set a default from Templates instead.
