Print or download invoices in bulk

Get invoice PDFs for many orders or draft orders at once, as one merged PDF or a ZIP of separate files.

Last updated

Use this guide if you want invoices for a batch of orders without opening each one. By the end, you’ll have a file on the Bulk actions page with every invoice you picked, ready to print or save.

  • Bulk printing and downloading start from the Orders and Drafts tabs of the Orders page. The Credit notes tab has no bulk actions.
  • Print invoices doesn’t open a print window. Both Print invoices and Download invoices create a file that you download from Bulk actions when it’s ready.
  • One bulk action can include up to 5,000 orders. For more, split the work by date range.
  • Only one bulk print or download runs at a time. Wait for the current one to finish before you start another.
  • On the Free plan, every order in a bulk action counts toward your monthly limit of 50 orders. Orders you’ve already printed, downloaded or sent before don’t count again. See How the monthly invoice limit works.
Output format Use it when What you get
Bundle You want to print everything in one go. One merged PDF. Each PDF holds up to 200 invoices, so a larger batch is split into several numbered PDFs, delivered together in a ZIP.
Separate You want one file per invoice, for example to file or upload them. A ZIP with one PDF per invoice, named by invoice number.

Print invoices starts on Bundle, and Download invoices starts on Separate. You can pick either format in both.

  1. Open your Shopify admin and click Invoice Falcon in the left menu.
  2. Click Orders in the app’s menu.
  3. Click the Orders tab, or the Drafts tab for quotes.
  4. Optional: narrow the list with the search box and the filters, for example Date range or Financial status.
  5. Select the orders:
    1. Tick the checkbox next to each order you want, or tick the checkbox in the list header to select the whole page.
    2. To go beyond the current page, click Select all orders matching current filters (on the Drafts tab, Select all draft orders matching current filters).
  6. In the bar above the list, click Print invoices or Download invoices.
  7. In the window that opens, under Output format, choose Bundle or Separate.
  8. Open the Template dropdown and pick the template to use. It starts on your default template for orders, or for draft orders on the Drafts tab.
  9. Click Start bulk print or Start bulk download.

A green Bulk action started banner appears above the list. Click View Bulk Actions in it to follow the progress.

  1. Click Bulk actions in the app’s menu.
  2. Find your action in the list, for example Bulk print orders or Bulk download orders (separate).
  3. The list doesn’t update on its own. Click Refresh on the row to see the latest progress.
  4. When the status shows Complete, click Download on the row.

With Separate, Invoice Falcon also emails you a download link when the ZIP is ready. It goes to your sender address in Settings > Emails, or to your Shopify store owner’s email if you haven’t set one. Bundle files don’t send an email, even though the window says you’ll get one. Download them from Bulk actions.

For more on statuses, cancelling and failed items, see Track your bulk actions.

  1. Select two or three orders on the Orders tab and start a bulk download with Separate.
  2. Open Bulk actions, click Refresh until the status is Complete, then click Download.
  3. Open the ZIP and check that each invoice uses the template you picked.
The window says You can only request for 1 action at a time

Another bulk print or download is still processing. Open Bulk actions, wait for it to finish (click Refresh to check), then start the new one. You can also cancel the running one with the X button on its row.

The window says the selection is over the 5,000 order limit

One bulk action can include up to 5,000 orders. Set a shorter Date range filter and run the export in several parts, for example one per month.

The file includes orders with a different fulfillment status

Select all orders matching current filters doesn’t apply the Fulfillment status filter. It uses the search, Financial status and Date range only. To export by fulfillment status, select the orders on the page yourself instead of using select all, or use a Shopify search in the search box.

I didn't get an email when the file was ready

Only Separate sends an email. For Bundle, open Bulk actions and click Download on the row. If you used Separate, check the inbox of your sender address, or your store owner’s email if no sender address is set, and your spam folder.

Some orders are missing from the file

Open Bulk actions and click Details on the row. Orders that couldn’t be generated are listed under Failed. On the Free plan, orders beyond your monthly limit of 50 fail this way. See Track your bulk actions.

The window shows the monthly limit message

On the Free plan, Invoice Falcon checks your selection before it starts. If the new orders in it would take you past 50 this month, the bulk action doesn’t start. Select fewer orders, wait for your limit to reset, or upgrade. See How the monthly invoice limit works.

Do I need to create invoices for the orders first?

No. Invoice Falcon creates any missing invoices as part of the bulk action, using the latest order details from Shopify.

Does a bulk print change my existing invoices?

It refreshes each invoice with the latest order details from Shopify before printing, the same as printing one order. Invoices you’ve edited by hand keep your edits, and locked invoices stay as issued. See Keep issued invoices unchanged.

Can I print quotes for draft orders in bulk?

Yes. Use the Drafts tab on the Orders page and follow the same steps. The Template dropdown starts on your default template for draft orders.

Can I send the file straight to my printer?

Not from a bulk action. Download the file from Bulk actions, open the PDF, and print it from your PDF viewer. Bundle is easiest to print because it’s one file. To print a single invoice right away, see Print or download an invoice.

Will my customers see anything?

No. Printing and downloading in bulk doesn’t email customers. To send invoices to customers in bulk, see Email invoices in bulk.
