Customize a template in the visual editor

Change what your invoices show and how they look, with a live preview and no code.

Last updated

Use this guide if you want to change a template without touching code: add your logo, pick colors, and choose which details appear. By the end, you’ll know how to open the visual editor, find any setting, and save your changes so customers get the updated invoice.

  • Changes apply only to the template you are editing. Your Business details are the exception: they are shared by every template.
  • Saving changes how existing invoices look too, the next time they are printed, downloaded or sent, because each PDF is rebuilt with the template as it is now. Invoice numbers and order details don’t change.
  • Most settings save only when you click Save changes. A few save the moment you change them: adding or removing the logo, the Branding setting, and AI changes you apply.
  • The visual editor is on every plan. The AI editor and hiding the Invoice Falcon footer need the Pro plan.

The invoice PDF they receive by email, print or download from their account uses your saved template. Settings you turn off disappear from the PDF. Details that depend on the order, such as a PO number or tracking numbers, only print when the order has them.

  1. Open your Shopify admin and click Invoice Falcon in the left menu.
  2. Click Templates in the app’s menu.
  3. Click the template’s name. The template page opens.
  4. In the Visual editor section, click Open visual editor.

The editor opens full screen, titled Edit Template: and your template name. You can also click one of the boxes above the button, such as Logo, Color or Date format, to open the editor straight at that setting.

The editor has two parts:

  • The editor’s sidebar on the left lists the settings. Click a row to open it, and click the back arrow at the top of the sidebar to return to the list. To jump to a setting, type in Search settings, for example “SKU” or “tax”.
  • The preview on the right shows the invoice as you change it, using a sample order with your own business details.

On a phone, switch between the two with the Settings and Preview tabs.

The sidebar has four groups:

Group Rows Guide
AI AI editor Edit templates with AI
Style Logo, Color, Fonts, Branding Add your logo, colors and fonts
Content Business details Add your business details
Order information Show order numbers, dates and tags and Set invoice numbers and prefixes
Payment information, Shipping information Show payment and shipping information
Items information Show product details on invoices
Order total information Show totals, discounts and shipping and Show tax details on invoices
Customer information, Extra information, Social information Add notes, a footer and social links and Add a paid or unpaid watermark
Language & currency Language, Currency Invoices in your customer’s language and Invoices in your customer’s currency
Labels Change labels and the date format

Language and Currency apply to all templates, so they are set in Settings. Click Go to Settings in either row to open them.

  1. Open the visual editor on the template you want to change.
  2. In the editor’s sidebar, click the row for the setting, for example Items information.
  3. Change the setting, such as ticking Show product SKU. The preview updates as you go.
  4. Click the back arrow at the top of the sidebar to pick another row, and repeat.
  5. Click Save changes in the bar at the top of the editor.

A Customizer settings saved message confirms the save. To undo everything since your last save, click Discard instead. Closing the editor without saving also throws away unsaved changes.

  1. Close the editor and click the Preview tab in the Edit template content section of the template page. It shows the saved template.
  2. Open a real order from Orders, click Actions, then click Print. Check the PDF, since a real order may have details the sample order doesn’t, and fonts can look slightly different in the PDF.
My changes disappeared

They weren’t saved. Changes are only kept when you click Save changes before closing the editor. Make them again and save.

The preview shows Error rendering template

The template’s code has an error, usually from a code edit. Undo the last code change in the Code tab, or go back to a working version. See Restore an earlier template version.

Failed to save customizer settings

The save didn’t go through. Click Save changes again. If it keeps failing, reload the page, which loses unsaved changes, and make them again.

A setting shows in the preview but not on a real invoice

The preview uses a sample order that has every detail filled in. A real invoice only shows a detail when the order has it, for example a PO number, a discount code or tracking numbers. Check the order in Shopify.

My business details changed on another template

That’s expected. Business details are shared by every template, so saving them in one template updates all of them.

Search settings finds nothing

Try a shorter or different word, such as “tax” instead of “VAT number”. If nothing matches, the message No settings match appears; browse the rows instead.

Will my changes affect invoices I already sent?

Yes, the next time they are printed, downloaded or sent, they use the saved template. A PDF a customer already downloaded doesn’t change, and invoice numbers and order details stay the same.

Can I try changes without affecting my live invoices?

Yes. Duplicate the template first, from More actions > Duplicate on the template page, and edit the copy. Make the copy the default when you’re happy with it. See Manage your templates.

Can I undo a save?

Yes. Open the template page, click More actions, then Version history, and restore an earlier version. See Restore an earlier template version.

Can I change one invoice without changing the template?

Yes, on the Pro plan. Edit that invoice from its order page. See Edit an invoice.

Do I need to know code?

No. Everything in the visual editor works without code. If you want full control over the layout, see Edit a template’s HTML and Liquid code.
