Send quotes for draft orders
Turn a Shopify draft order into a quote PDF, then email, print or download it.
Last updated
Use this guide if you create draft orders in Shopify and want to give the customer a quote before they pay. By the end, the customer has a quote PDF in their inbox, or you have it printed or saved.
Before you begin
Section titled “Before you begin”- Create the draft order in Shopify first, with the products and a customer. Invoice Falcon makes a quote for each draft order; it doesn’t create draft orders itself.
- Quotes are sent by you. Automatic sending covers orders only, not draft orders.
- On the Free plan, printing, downloading or emailing a quote counts toward your monthly limit of 50, the same as an invoice. See How the monthly invoice limit works.
What customers will see
Section titled “What customers will see”An email from your store with the quote attached as a PDF. The email uses your quote email text, which you can change under Quote emails in Settings > Emails. See Customize your invoice emails.
The PDF uses the template set as the default for Draft orders. On new stores this is Default quote. To use another one, see Rename a template and set a default.
Set it up
Section titled “Set it up”Open the quote
Section titled “Open the quote”- Open your Shopify admin and click Invoice Falcon in the left menu.
- Click Orders in the app’s menu.
- Click the Drafts tab.
- Click the draft order number in the Draft # column. The quote preview opens.
You can also start from Shopify: open the draft order in your Shopify admin, click More actions, then click Send or Print Quote. This opens the same quote page in Invoice Falcon.
Email the quote
Section titled “Email the quote”- On the quote page, open the Send menu at the top.
- Click Send email to send it with your usual text, or Review & send to check the address and change the subject or message first.
- Click Send email (or Send invoice in Review & send).
For more on the two options, see Email an invoice to a customer.
Print or download the quote
Section titled “Print or download the quote”- On the quote page, open the Actions menu above the preview.
- Click Print or Download PDF.
On the Drafts tab you can also use the print, download and envelope icons in the draft order’s row, or tick several draft orders to print, download or email them together. See Print or download invoices in bulk.
Check your setup
Section titled “Check your setup”- Create a test draft order in Shopify with your own email address as the customer.
- Email the quote from Invoice Falcon and open the PDF in your inbox.
- On the Drafts tab, the draft order now shows a number in the Invoice # column, and its envelope icon turns blue.
Troubleshooting
Section titled “Troubleshooting”My draft order isn't on the Drafts tab
Check the Date range and Status filters at the top of the list, and clear the search box. The list shows draft orders straight from Shopify, so a draft you just created appears right away.
The quote looks like an invoice
The template set as the default for Draft orders is an invoice design. Make your quote template the default for Draft orders instead. See Rename a template and set a default. To fix one quote right away, pick the quote template in the Templates sidebar on its page.
Failed to send email. Please try again.
The draft order probably has no customer email. Use Send > Review & send and type the address in Email(s), or add a customer to the draft order in Shopify.
The quote doesn't show a change I made to the draft order
Use Other > Regenerate on the quote page to rebuild it from the draft order. If you edited the quote with Edit invoice, regenerating removes those edits. See Regenerate an invoice.
Can quotes be sent automatically?
No. Automatic sending covers orders only. Send each quote yourself from its page or from the Drafts tab.
What happens to the quote when the customer pays and the draft becomes an order?
The quote stays on the Drafts tab. The new order gets its own invoice on the Orders tab, like any other order.
Can I change the prices or products on a quote?
Yes, on the Pro plan. Click Edit invoice on the quote page. See Edit an invoice. Or change the draft order in Shopify and regenerate the quote.
Can I change the wording of the quote email?
Yes, on the Pro plan. Click Settings in the app’s menu, then on the Emails tab click Customize in the Quote emails section. See Customize your invoice emails.
